1. Information We Collect

InsightOS collects information that you provide directly when creating an account, including your name, email address, organization name, and billing information. We also collect data that you connect to the platform through third-party integrations such as Google Analytics, advertising platforms, and CRM systems.

We automatically collect certain technical information when you use the Service, including your IP address, browser type, device identifiers, pages visited, and interaction patterns. This information helps us operate, maintain, and improve the platform.

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve the InsightOS platform, process transactions, send service-related communications, and respond to your requests. We also use your data to generate analytics dashboards, AI insights, and performance reports as part of the core Service functionality.

We may use aggregated, anonymized data to analyze usage trends, improve our algorithms, and develop new features. This aggregated data cannot be used to identify any individual user or organization.

3. Data Sharing

InsightOS does not sell your personal information to third parties. We may share your data with trusted service providers who assist us in operating the platform, such as cloud hosting providers, payment processors, and email delivery services. These providers are contractually obligated to protect your data and use it only for the purposes we specify.

We may disclose your information if required by law, subpoena, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of InsightOS, our users, or the public. In the event of a merger or acquisition, your data may be transferred to the successor entity.

4. Data Retention

We retain your account information and connected data for as long as your account is active or as needed to provide the Service. If you close your account, we will delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes such as fraud prevention.

Analytics data processed through the platform may be retained in aggregated, anonymized form indefinitely for the purpose of improving our services. Backup copies of data may persist in our systems for up to 90 days after deletion.

5. Your Rights

For EEA/UK residents (GDPR): You have the right to access, rectify, erase, restrict processing of, and port your personal data. You may also object to processing based on legitimate interests and withdraw consent at any time. To exercise these rights, contact us at privacy@insightos.io.

For California residents (CCPA): You have the right to know what personal information we collect, request deletion of your data, and opt out of the sale of personal information. InsightOS does not sell personal information. You will not be discriminated against for exercising your privacy rights.

We will respond to verified rights requests within 30 days, or within the timeframe required by applicable law. You may also lodge a complaint with your local data protection authority.

6. Cookies

InsightOS uses cookies and similar tracking technologies to maintain your session, remember your preferences, and analyze how you use the platform. Essential cookies are required for the Service to function and cannot be disabled. Analytics cookies help us understand usage patterns and improve the user experience.

You can manage your cookie preferences through the cookie consent banner displayed when you first visit the platform. Most browsers also allow you to control cookies through their settings. Note that disabling certain cookies may impact the functionality of the Service.

7. Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS 1.2+) and at rest (AES-256), access controls, regular security audits, and intrusion detection systems. Our infrastructure is hosted on SOC 2-compliant cloud providers.

While we take reasonable precautions to protect your information, no method of transmission or storage is completely secure. We cannot guarantee absolute security and encourage you to use strong passwords and enable two-factor authentication on your account.

8. Children's Privacy

InsightOS is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 18, we will take steps to delete that information promptly.

If you are a parent or guardian and believe your child has provided personal information to InsightOS, please contact us at privacy@insightos.io so we can take appropriate action.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by email or through a prominent notice on the platform at least 14 days before the changes take effect.

We encourage you to review this policy periodically. Your continued use of InsightOS after the effective date of any changes constitutes your acceptance of the updated policy.
